Billing Analyst!
R&W Group seeks experienced Legal Billing Analyst candidates on behalf of our large law firm client for either the DC, Boston or New York office locations! The Legal Billing Analyst is responsible for the firm’s billing functions including all activities necessary to produce and distribute proformas and final invoices for each assigned attorney in a timely and accurate fashion.
ESSENTIAL DUTIES AND RESPONSIBILITIES
General Billing Duties
Provide excellent customer service while completing daily tasks.
Communicates completely and accurately with attorneys, secretaries, team members and clients.
Communicates regularly with the Senior Billing Manager concerning all functions of their daily responsibilities.
Process proformas, finalize invoices and run pertinent reports in adherence to the Firm’s policy.
Develop and maintain positive working relations with attorneys, clients and colleagues.
In conjunction with attorneys/clients, customize desired presentation of the invoices.
Analyze and resolve work problems and assist team members as needed.
Produce Client Proformas
Coordinate all the functions necessary to produce proformas according to Department procedures, applying sound accounting principles at all times.
Utilize proper internal control procedures and good judgment to ensure the following: Proformas are generated promptly
Proformas are queued to run monthly
Proformas are generated and distributed as information only pdf’s
E-mails are sent to the appropriate teams regarding proforma status in their workflows, deadlines, vacations, and all other pertinent information.
Produce Client Invoices
Review internal notes, billing instructions and matter notes on the proformas in the workflow.
Prepare final invoices including any relevant client requested back-up. Ensure appropriate approvals have been obtained.
Each Billing Analyst should be able to:
Process and review proformas for assigned attorneys
Audit proformas in accordance to the Billing Analyst Proforma Audit Checklist
Review proformas for compliance to client Outside Counsel Guidelines
Review proformas for compliance with Department policies
Research erroneous time and cost entries and make relevant transfers
Return proformas if errors are found with an explanation as to why the proforma was returned
Make text edits
Divide and combine entries
Transfer entries
Delete approved entries
Adjust unbilled time and cost entries as requested by the attorney
Add discounts to the invoice
Make approved transfers to nonbillable matters
Apply unallocated credits
Enter flat fees
Make adjustments to the bill templates on proforma and client maintenance
Update billing instructions as needed
Coordinate rate changes with Billing and Intake Compliance Administrator
Update billing site address on proforma
Review billing rules validation warning and update billing rules validation list with new approved timekeepers
E-mail invoices for attorney review
Verify invoice totals with system totals before finalizing
Run proforma audit report and routinely monitor throughout the month to ensure all billing is completed for previous month’s work by month end close deadline
E-Billing
Coordinate all functions related to e-billing, including but not limited to:
Forward requests for set up of clients new to e-billing to E-Billing Manager
Become familiar with client’s Outside Counsel Guidelines
Upload invoices
Communicate with 3rd party assistance regarding urgent request to have invoices submitted immediately
Follow-up on rejected and disputed e-bill invoice notifications
Routinely review monthly spreadsheets prepared by 3rd party regarding bill status of invoices
Coordinate the matter id’s and/or rates being added into 3E
Be prepared to review rejections and short payments with E-Billing Manager during monthly meeting
General Accounting Duties
Responsible for daily functions of Accounts Payable/Banking in the LA office including, but not limited to:
Rush checks
Review for proper approvals
Void checks
Bank deposit
Escrow banking (making deposits and writing checks)
Communicates regularly with the LA Director of Administration concerning the
Accounts Payable/Office functions on a daily basis.
Special Requests
Assist with other duties as assigned and special projects as assigned by the Sr. Billing Manager or EBilling Manager.
MINIMUM QUALIFICATIONS
Knowledge/Skills/Abilities:
Proficiency in MS Office applications including Outlook, Excel and Word.
Excellent spelling, grammar and written communication skills.
Excellent oral communication skills as necessary to communicate and coordinate with others on routine but varied issues and work effectively across all levels of the organization.
Excellent organizational skills, including attention to detail and the ability to work effectively in an atmosphere of multiple projects, shifting priorities, and deadline pressure.
Willingly and effectively exchange information within the department for reporting and informational purposes.
Ability to maintain a high level of confidentiality and professionalism.
Ability to organize high volume workflow with attention to detail and effective problem solving.
Ability to work overtime as needed.
Education:
BA in accounting or business-related field with applicable accounting courses preferred.
Experience:
Minimum of 5 years of legal billing experience required.
Minimum of 5 years’ experience with applicable law firm billing software is required, at least 3 of which is with Elite Enterprise or 3E. E-billing experience is required with e-Billing Hub experience preferred.
