Business Development and Marketing Professional

R & W Group has an exciting opportunity for a savvy Business Development/Marketing professional with two (2) years of experience looking to join a large law firm! One of our favorite law firm clients has an opening for a Business Development and Marketing Coordinator role, which can be based in Washington, DC or Houston, TX. The Coordinator will work closely with the Business Development and Marketing Manager to support the Energy and Project Finance practices. The Coordinator is a central part of the team and is involved in a variety of projects including: entering and maintaining data in the Firm's experience management system; assisting in the creation and maintenance of business development and marketing collateral for the group, including pitches and web materials; coordinating drafts of directory submissions and client references; coordinating activities to improve the profile of the practices involving outside organizations, such as sponsorships and other major events. S/He takes an active role in learning about these legal groups and developing the groups’ and the firm’s internal knowledge about its clients and business. The Business Development and Marketing Coordinator also works closely with the other Business Development and Marketing Managers and Specialists in different offices to coordinate marketing efforts. It is essential that the Coordinator is a self-starter, works across offices and works well in a team environment.

Duties and Responsibilities:

In coordination with the Business Development and Marketing Manager and the Director of Business Development and Marketing:

  • Works with certain practices listed above to prepare and coordinate year-in-review reports for use in various industry survey submissions, e.g., Chambers USA.

  • Helps to develop and implement systems to acquire and manage representative experience in the Firm’s experience management system.

  • Assists Business Development and Marketing Managers and/or lawyers in the preparation of client proposals and pitches, through formal RFP response processes as well as on an ad hoc basis.

  • Works with Business Development and Marketing Manager and others to help maintain library of materials for pitches, proposals and RFP responses.

  • Updates practice information on the Firm’s website and intranet site, as well as coordinates occasional republication in external venues.

  • Helps write and edit draft practice group descriptions, lawyer biographies and client presentations to further develop the Firm’s business development opportunities.

  • Helps conduct research on clients/prospective clients, industry research and occasional competitive intelligence to develop knowledge about our clients, their industries and legal needs.

  • Other duties as assigned.

Education and/or Experience:

Required:

  • A Bachelor's degree from an accredited four year college or university

  • A minimum of two (2) years of business development and/or marketing related experience

  • Demonstrated PC experience required: MS Word, PPT, Excel, Outlook

Preferred:

  • Legal marketing (especially in the practices listed above) and/or strategic planning, sales, market assessment or positioning in other professional services industry

  • Experience with InterAction (or other CRM program)

  • Working knowledge of customer relationship management and other databases

Conflicts Intake Specialist

R & W Group has a tremendous new opportunity! The Conflicts Department of one of our favorite law firm clients is looking for a Conflicts & Intake Specialist for their Washington, DC office. In this role you would run searches in the database of all firm clients and adverse parties; research entities in other databases and on the internet; and engage with people at all levels of the Firm to better understand the nature of the work that we do. When the searching is complete, you would undertake basic analysis to compile useful results and present them in an effective way.

Qualifications:

  • Four-year college degree and/or equivalent, significant, meaningful experience in the conflicts department of a law firm.

  • A minimum of 40 wpm typing.

  • Effective oral and written communication skills.

  • Excellent interpersonal skills.

  • Strong organizational and planning skills.

  • Ability to work effectively with people at all levels of the Firm with tact and diplomacy.

Billing Specialist

R & W Group is seeking an experienced Billing Specialist on behalf of our large law firm client in DC! Excellent firm, metro accessible, great benefits! The Billing Specialist will assist attorneys in preparation of bills to clients and performs follow up action on past due client accounts. He/she will provide administrative and accounting support to Attorneys and Accounting department staff. He/she will answer billing questions and researches billing related issues, prepares and distributes billing proformas, invoices and billing related reports. The Billing Specialist will manage client accounts according to the billing agreements and performs necessary maintenance and will manage past due accounts and performs necessary follow up action. He/she will act as a billing advisor to attorneys and insures that all transactions are recorded according to accounting standards.

Duties and Responsibilities:

  • Perform daily activities of the billing function in support of Partners and Clients. This includes but is not limited to Proforma generation and edits, creating timecard summaries, updating matter and Timekeeper rates and running client reports at the request of the Partners and Attorneys.

  • Ensure timeliness, accuracy, and acceptance of invoices on a monthly basis. Effectively follow up with Billing Partners and others in order to resolve client billing issues and ensure invoices are approved and billed.

  • Understand and ensure correct implementation of client Outside Counsel Guidelines.

  • Ensure electronic invoices (EDI) are processed accurately and efficiently.

  • Must be highly detail-oriented with the ability to handle multiple tasks in a fast-paced environment.

  • Demonstrates professional and highly-developed communication skills. Ability to deal professionally and courteously with attorneys, staff, vendors, and clients of the Firm while observing confidentiality of client and firm matters.

  • Other duties as assigned.

Required:

  • Bachelor's degree or two years of related experience in an accounting department

  • Proficiency in MS Word and Excel

  • Understanding of general accounting principals as they apply to Billings and A/R

  • Excellent math aptitude

Preferred:

  • Previous law firm experience

  • Implementation of, or exposure to various client billing agreements

  • Experience with electronic billing and electronic billing vendors

  • Knowledge of Elite, Microsoft Word, Excel, and Office
