Marketing Events Coordinator

R & W Group has a fantastic new opportunity! One of our favorite law firm clients, a highly respected mid-sized firm, is looking for an experienced Marketing Events Coordinator for their DC office. The most successful Marketing Events Coordinator obsesses over details, thinks outside of the box to create innovative and engaging events (even in the virtual context), provides a warm welcome and point of contact for external event attendees, inspires enthusiasm and collaboration by lawyers and staff on marketing events, tracks and communicates event ROI, and maximize the firm’s collective use of InterAction.

In this role, you would:

  • Plan and execute in-person client seminars, webinars, and social events around the U.S. and work in Interaction.

  • Events include conferences (both firm-hosted and those with firm participation or sponsorship), tradeshows, roundtables, social and sporting events, and webinars.

  • A constant stream of events requires dealing with overlapping deadlines and deliverables, setting and adhering to effective internal processes, inspiring timely stakeholder participation, and managing events both in-person and remotely.

  • The InterAction component requires daily attention to database changes and a broader perspective on how the firm can better use the database in support of its client relationships. This includes implementing effective processes for tracking/updating contacts and activities and communicating these to firm users, overseeing data quality and maintenance, issue-spotting/troubleshooting, analytics, and working with the firm’s Information Technology Department to enhance the overall utility of InterAction to the firm.

  • Serve as point person for the firm’s InterAction client relationship management database and Vuture email marketing/event management software.

  • Report to the firm’s Business Development Manager but also work independently with firm lawyers to produce and manage events.

  • Have high visibility within the firm and substantial interaction with external contacts.

  • Produce and distribute electronic newsletters (single-topic alerts, multi-topic newsletters, blog posts)

  • Post updates and changes to content on the firm’s website and intranet

  • Post updates and changes to the firm’s social media feeds (LinkedIn, Twitter, Facebook)

  • Prepare periodic analytics of all content distribution channels

  • Work with lawyers to prepare submissions to legal and industry directories and rankings

  • Draft and transmit press releases and working to build firm media lists and relationships with media outlets

  • Prepare promotional and pitch materials, including brochures, lawyer biographies, copies of firm publications, and pitch packets

  • Assist with production of PowerPoint presentations for the marketing department and firm lawyers

  • Prepare “tombstone” advertisements used in charitable and industry outreach

  • Prepare monthly media clips and handling reprint permissions

  • Graphic design (e.g., using pre-existing templates to produce brochures, charitable/sponsorship ads, and other applications)

Required

  • College degree or equivalent, or demonstrated career experience

  • 3+ years of law firm event management experience or comparable event management experience

  • Client service/hospitality orientation

  • Fluency with InterAction

  • Initiative, proactivity, a self-starter who shows ownership and commitment to the job

  • Ability to work effectively with lawyers and staff firm-wide

  • Ability to travel domestically 4-6 times per year

  • Willingness to work overtime during busy periods, as well as for specific events (e.g., early morning or evening events)

  • Demonstrated project management skills

  • Experience setting KPIs, tracking outcomes, and communicating event ROI

  • Ability to multi-task in a fast-paced environment

  • Excellent attention to detail

  • Ability to spot issues and calmly problem solve under pressure

  • Polished written and verbal communication

  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint

  • Familiarity with WordPress CMS and Vuture email marketing/event invitation software (or comparable email marketing/event invitation software)

Preferred:

  • Proficiency in Adobe InDesign

  • Strong writing and proofreading skills

  • Social media savvy
